At Addenda Capital Inc. (hereinafter referred to as "Addenda" or "we"), protecting personal information is a priority, and our standard of excellence extends to the confidentiality rule.
This Policy outlines how we handle personal information of our clients (actual and potentials), employees, job applicants and any other individuals ("you").
By providing us with your personal information, you consent to our handling of said information, as explained in this Policy. If you do not consent, please refrain from providing us with your personal information. Please note, however, that the collection of some information may be necessary to provide you with our services, an employment or to meet our legal or regulatory obligations.
Should you wish to provide us with personal information about a third party, please ensure that you obtain the concerned individuals' consent before sharing it with us.
What personal information is collected?
Addenda only collects personal information that is essential to the conduct of its business and minimizes this collection to what is strictly necessary. We only collect personal information for deemed serious and legitimate reasons and to achieve the purposes for which it is requested.
In most cases, or otherwise permitted by applicable law or regulation, Addenda only collects personal information directly from you, including through your use of our website, when you contact us or request information from us, when you hire us for services, when you apply for a job at our Firm or agree to join our staff.
This information may include, but is not limited to:
- Customary identification information, such as your contact information, including your name, address, e-mail address and telephone number;
- If you are a client, personal information required to open an account with us, such as identification, financial or tax documents;
- If you are a job applicant or employee, personal information required to evaluate your application or to offer or maintain your employment, such as your resume, identification documents, diplomas, social insurance number, bank or brokerage accounts information;
- Generally, any personal information deemed relevant to enable us to offer you services suited to your needs and expectations, or an employment;
- Any other information required to comply with applicable laws and regulations.
For what purposes is your personal information collected?
Addenda collects personal information for the purposes identified at the time of collection. These purposes may include, without limiting to:
- If you are a client, providing you with services and related activities arising from your contractual relationship with us;
- If you are a candidate or employee, evaluating your application or providing you with services related to your employment at Addenda;
- Fulfilling contractual obligations to you or to certain of our service providers (with whom we have entered into a confidentiality agreement);
- The compliance of our records, operations, or other activities with current legal and regulatory requirements;
- Any other purpose you have agreed to.
How is your personal information used and shared?
We do not use or share your personal information for purposes other than those for which it was collected, except with your permission or where required or permitted by law or regulation.
Please note that your personal information may be used or disclosed without your consent for other purposes consistent with the one you initially provided to us, subject to applicable laws and regulations. If these secondary purposes are not compatible with the consent you have provided, our staff would contact you before using or communicating your personal information to obtain your consent.
Who has access to your personal information?
Only the following persons will have access to your personal information:
- Addenda employees assigned to tasks necessary for the proper management of your contractual relationship with us, including administrative tasks relating to your account or employment;
- Third-parties (affiliated entities or external service providers) with whom we have a confidentiality agreement and whom Addenda retains for administrative purposes;
- Any person expressly authorized by law, regulation, or court order;
- Any person specifically designated by you;
- Employees of external auditing firms whose mandate is to perform customary audits.
How do we keep your personal information?
The personal information we collect is mainly stored in Canada, in soft-copy format and sometimes in hard-copy format. However, we may share your personal information with some of our service providers who may be located in (or store data in) other countries.
Please note that we conduct due diligence and enter into confidentiality agreements with our service providers to ensure the protection of your personal information, as outlined in the following section.
How is your personal information protected?
Your personal information remains confidential and secure and is not shared to anyone outside the above-noted individuals without your consent, or as required or permitted by law or regulation.
To protect your privacy, we have put in place several measures to safeguard personal information collected during our regular business activities. These measures may include, without limiting to:
- Preventive measures, such as guidelines and training of our staff;
- Physical measures, such as restricting access to our offices to our own staff or the retention of information of hard-copies in locked cabinets;
- IT measures, such as passwords and limited / controlled access to virtual folders containing your information;
- Legal measures, such as contractual agreements or confidentiality clauses with our partners to whom it may be necessary to share your information to provide you with the requested services.
Requests or complaints to personal information
In addition to obtaining the information contained in this Policy, the law grants you certain rights with respect to your personal information, including the right to confirm the existence of a file at Addenda, to access this information and have it rectified, to withdraw your consent to its communication or use, and to know its source and destination.
In certain circumstances prescribed by law, you may also obtain a transcript, copy, or transmission of this information which may be subject to reasonable fees and whose amount would be communicated to you in advance by Addenda.

Addenda will endeavour to respond to your request or complaint as quickly as possible and subject to applicable legal, regulatory, and contractual restrictions.
Please also note that a request for access or modification can only be considered if it is made in writing with proof of your identity.
